The Run of Show

The spine of the event. If it lives only in someone's head, it doesn't exist.

  • Minute-by-minute run of show drafted — doors, welcome, speakers, meal service, program, close
  • Every speaker and performer has a named slot with a time length
  • One person owns the clock (MC or stage manager, by name)
  • A/V cues marked in the run of show — mics, slides, videos, walk-up music
  • Run of show shared with every vendor a week out

Your Vendors

The night runs on handoffs. Everyone should know everyone.

  • Complete vendor list with contacts — venue, catering, A/V, decor, entertainment, media
  • Load-in and load-out times confirmed with the venue
  • Vendors have each other's contacts (a shared sheet or group thread)
  • One named decision-maker for event day — who do we find when something needs an answer?
  • The A/V split is explicit: sound & projection (around here, usually our partner Lafayette Sound) and cameras (that's us) are different jobs — both booked, and introduced to each other

The People Who Matter

We can't capture a moment we don't know is coming.

  • VIPs, honorees, and major donors identified — names to us a week out
  • Must-capture moments listed: the award handoff, the big check, the surprise
  • Anyone who should NOT appear on camera flagged
  • Speaker names, titles, and headshots collected (for stream graphics and lower-thirds)

The Outcome

Events have jobs. Name yours and the whole night aims at it.

  • Success defined in one sentence — a fundraising number, signups, a feeling, a headline
  • The "ask" moment placed deliberately in the run of show (not squeezed in)
  • Decided: live stream, recorded-and-produced video, or both
  • Post-event plan: where the highlight reel goes and when

The Freeze

One week out, the plan stops moving — that's what makes room for the night to be great.

  • Run of show locked — changes now need a genuinely good reason
  • Final headcounts to caterer and venue
  • Venue walkthrough scheduled (with A/V and media there)
  • If streaming: venue internet/bandwidth confirmed
  • Weather or contingency plan written down, not just discussed

The single best thing you can do for your event is have someone own the plan. We'd genuinely love that to be a professional event planner — planners who run tight ships make everything on this page smoother, and smoother is cheaper (see: the triangle).
